QuickBooks cleanup cost: what drives the fixed fee

Every QuickBooks cleanup is quoted as one fixed fee. What sets it is how far back the books went wrong, how many accounts are involved, how busy they are and what else is in the file. Here are the eight drivers, and what to have ready.

TL;DR

QuickBooks cleanup is a fixed fee from $1,200 (focused) to $15,000+ (multi-year); bookkeeping cleanup from $1,500. The exact fee comes in a written scope within 3 business days of a free file review, set by eight things: the months behind, the accounts, the volume, payroll, sales tax, inventory, the number of entities, and the condition of the file.

Quick answers

QuickBooks cleanup cost, in five questions.

How much does a QuickBooks cleanup cost?

A fixed fee from $1,200 to $15,000+, set by the file: a focused single-issue cleanup sits at the low end, a multi-year, multi-account rebuild at the top. Bookkeeping cleanup starts from $1,500.

What drives the price most?

How far back the last reconciliation that actually tied sits, multiplied by the number of accounts that have to be rebuilt from that point. Payroll, sales tax, inventory and multiple entities add to it.

Why not just pay by the hour?

Because nobody knows how deep a messy file goes until they are in it. A fixed fee against a written scope puts that risk on the firm, not on you.

What should a cleanup quote include?

The period, every account in scope, the deliverables, what closes the engagement, the exclusions, the timeline, the fee and who reviews the work.

§The eight drivers

The eight cost drivers.

A cleanup is bounded by a period and a list of accounts. These eight things decide how much work sits inside that boundary.

The eight things that move a QuickBooks cleanup fee, why each one moves it, and what to have ready
DriverWhy it moves the feeWhat to have ready
Months or years behindEvery month from the last reconciliation that actually tied has to be rebuilt; the period is the base of the feeThe date of the last reconciliation you trust
Bank and card accountsEach account is reconciled on its own, statement by statementA list of every bank, credit-card and loan account
Transaction volumeMore transactions mean more to categorize, match and checkA rough monthly count, or one recent statement
PayrollPayroll liabilities have to agree with the provider’s reports and the filed returnsPayroll reports and filed quarterly returns
Sales tax and nexusTax collected and paid has to agree with what was filed, state by stateThe states you file in, and the filed returns
InventoryQuantities and cost of goods have to agree with counts and purchasesA recent count and your valuation method
Multiple entitiesEach entity is its own file, and the transfers between them have to matchHow the entities fit together and who owns them
Desktop or Online, and file conditionErrors, corruption or a file that won’t verify add repair work before the books can be fixedThe product and version, and any error messages

Qualitative only: there are no averages here, because a cleanup fee is set by measuring your file, not by a market median.

§Four different prices

Cleanup, catch-up, emergency fix, diagnostic: four different prices.

“My QuickBooks is a mess” describes four different jobs, and they are priced differently.

QuickBooks cleanup: $1,200–$15,000+

Repairs a file whose numbers can’t be trusted: reconciliations that don’t tie, duplicates, undeposited funds, a broken chart of accounts. One fixed fee; the tiers are on cleanup pricing. Bookkeeping cleanup, the same work on books in any software, starts from $1,500.

Catch-up bookkeeping: $2,000–$20,000+

Enters months that were never done, priced per month of backlog. If the months that exist are also wrong, the cleanup comes first.

Emergency QuickBooks fix: $500–$2,500

A fast, narrow engagement to get a file working before a deadline: a file that won’t open, users locked out. It stops the bleeding; the cleanup is scoped afterwards.

A paid diagnostic, when one is needed

The file review is free. Multi-entity or multi-year files can need a paid diagnostic before an honest fixed fee is possible, and you are told that before anything costs money.

§Why fixed fee

Why fixed fee, not hourly.

Hourly billing on a messy file puts all the risk on you: nobody knows how deep the problem goes until they are in it, and every surprise is billed. A fixed fee moves that risk to the firm, which is why it can only be set after someone has measured the file.

The fee is quoted against a written scope: the period, the accounts, the deliverables and what closes the engagement. If the scope genuinely changes, the fee is re-quoted in writing before the work continues.

§What a quote should include

What a cleanup quote should include.

Whoever you hire, a quote that leaves these out is not yet a quote.

  • The period: from the last reconciliation that tied to the month the cleanup ends.
  • Every account in scope, by name: banks, cards, loans.
  • The deliverables: what is fixed, and what you receive at the end.
  • What closes the engagement: every account reconciled to its statement through the end date, and the file verified.
  • What is excluded: months never entered, the monthly close afterwards, tax filing.
  • The timeline, and what would move it.
  • The fee, and what would change it.
  • Who does the work, and who reviews it before it reaches you.
§Red flags

Red flags in a cheap quote.

No period, or “everything”

A quote that names no start and end date can be finished whenever the money runs out.

A promise to make it balance quickly

The quick way to make a reconciliation balance is an adjusting entry that hides the difference. The problem is still in the file, and now it is harder to find.

Hourly, with no estimate or cap

On a file nobody has measured, an open hourly rate is a blank cheque.

Nothing at handoff

If the quote doesn’t say what evidence you receive, such as reconciliation reports and a summary of every fix, you won’t be able to show your CPA what changed.

No one checks the work

Ask who reviews the cleanup before it reaches you. A second pair of eyes is the cheapest protection there is.

§Not included

What is not included.

Tax filing: your CPA or EA files from the cleaned books. The monthly close after the cleanup: optional, and priced separately as monthly bookkeeping ($400–$2,500+ a month). Months that were never entered at all: that is catch-up, a separate fixed fee. QuickBooks subscriptions stay in your name.

A first-year QuickBooks cleanup: from disorganized to fully reconciled.

A first-year food & beverage business’s QuickBooks records: reviewed and corrected, transactions reconciled, miscategorized entries fixed and the chart of accounts organized. In the owner’s words, the books went “from disorganized and inaccurate to fully reconciled.”

Questions about what a cleanup costs.

Why do cleanup quotes vary so much?
Because the eight drivers vary, and because quotes cover different things: one includes every account and the handoff evidence, another covers one account and stops when the screen balances. Compare the period, the accounts and the deliverables before the price.
Is a cleanup cheaper than starting a new file?
Sometimes not, and sometimes a new file is the right answer. Starting over still needs opening balances that agree with reconciled figures, and it gives up the history in the old file. How to decide is on clean up QuickBooks or start over.
Does the price include monthly bookkeeping after?
No. The cleanup ends when the books are verified and handed over. Monthly bookkeeping is optional and priced separately, $400–$2,500+ a month.
Do you charge for the review?
No: the file review is free. Multi-entity or multi-year files can need a paid diagnostic before an honest fixed fee is possible, and you are told that before anything costs money.
How long does a cleanup take?
Most cleanups complete in one to four weeks; complex rebuilds take up to eight. The timeline is set in the written scope.
