Florida · Short-Term Rental Accounting

Florida short-term rental accounting, from payout to bed tax.

Florida hosts and rental managers are paid by platforms, net of fees and sometimes of tax, while the state and the county each expect their share of every stay. We reconcile each Airbnb, Vrbo and direct-booking payout back to the gross rent, split the taxes the way they are owed, and keep a ledger for every property and every owner, by your TechBrot team, with every close reviewed by a Certified QuickBooks ProAdvisor.

Florida rule: section 212.03, Florida Statutes, taxes transient rentals at 6 percent of the total rental charged, added to the guest’s rent and due when the rent is received; in QuickBooks each booking splits into rent, state tax, county surtax and tourist development tax. §The short version

Florida short-term rental accounting from TechBrot traces each Airbnb, Vrbo and direct-booking payout back to gross rent, then splits the taxes as owed: 6% state transient rental tax and county surtax to the Department, and the county’s tourist development tax, often paid to the county. Every property gets its own profit and loss; managers get owner ledgers.

§Why Florida rental books break

Where Florida short-term rental books go wrong.

A booked calendar can still hide a tax liability and a property that loses money. These are the three gaps we close first.

Payouts

The payout booked as rent

A platform deposit is rent minus the service fee, plus cleaning and guest fees, sometimes minus tax the platform collected, and often covers several stays. Booked as one income line, rent is understated, fees vanish, and the taxable total no longer matches the bookings.

Three taxes, one account

State, surtax and bed tax mixed together

The 6 percent state tax and the county surtax go to the Department of Revenue; in many counties the tourist development tax goes to the county. Posted to one liability account, no balance matches any return.

Owners

Several owners in one ledger

A manager collecting rent for owners carries the statute’s collection and record-keeping duties. Without a ledger per owner and per property, owner statements, management fees and the tax remitted for each owner cannot be shown.

Every Florida short-term rental engagement runs in the same order: platforms mapped first, the taxes separated second, then a monthly close by property.

A QuickBooks ProAdvisor reviews how your payouts are recorded and how the state, surtax and county taxes are tracked — at no cost.

Step 2

Written fixed-fee scope

A written scope and fixed fee within 3 business days: cleanup, setup or monthly.

Step 3

Map & separate

Properties and owners set up as classes, payouts traced to stays, the three tax accounts separated by county.

Step 4

Monthly close by property

A monthly close with a P&L for each property, owner statements for managers, and tax figures by county.

§Beyond the books

Clean payouts are the start. Knowing which property earns is the point.

Once every payout ties to its stays and each tax sits in its own account, the questions turn to the portfolio: which property earns after cleaning and management, whether a nightly rate still covers the slow months, and when to add a unit or let one go.

That is where fractional-CFO advisory picks up, on cleaned-up books, coordinated with your CPA, who decides how the rental income is reported.

§FAQ

Florida short-term rental accounting questions.

What does Florida short-term rental accounting include?
Platform payouts traced back to gross rent, fees and platform-collected tax and matched to the bank; the 6 percent state transient rental tax and county surtax tracked apart from the county tourist development tax; a profit and loss for each property; owner ledgers and statements for rental managers; and a monthly close, in your own QuickBooks file, by your TechBrot team, with every close reviewed by a Certified QuickBooks ProAdvisor.
What taxes apply to a Florida short-term rental?
Section 212.03, Florida Statutes, levies a tax of 6 percent of the total rental charged for transient accommodations, charged to the guest in addition to the rent and due when the rent is received. The Department of Revenue says the sales tax and discretionary sales surtax on transient rentals are always reported to the Department. Counties may also levy local option transient rental taxes, such as the tourist development tax, on stays of six months or less; rates by county are on the Department’s Form DR-15TDT.
Do I pay the tourist development tax to the state or to the county?
It depends on the county. The Department of Revenue says local option transient rental taxes can be administered by the Department or by local government, and that in many counties they are reported and paid directly to the local government. Some counties also administer other local levies themselves; Duval, Miami-Dade and Volusia, for example, administer their convention development taxes. The books keep each county’s tax in its own account so the right return ties.
What if Airbnb or Vrbo already collects tax on my bookings?
Then the books record what the payout report shows: tax the platform says it collected and remitted is posted as remitted by the platform and kept out of the account you pay from, so it is not paid twice. Which taxes a platform collects varies by platform and by county, so your payout reports, your county and your CPA settle what you still owe and where.
I manage rentals for owners. What changes in the books?
Section 212.03 gives the duties of collecting and remitting the tax and keeping books and records to anyone who collects or receives rent on an owner’s behalf. In QuickBooks that means a ledger for each owner and property, management fees posted as your income, rent and tax collected for each owner shown separately, and owner statements that tie to the bank.
Is a stay longer than six months taxed?
Section 212.03 says a person who exclusively enters into a bona fide written agreement for continuous residence of longer than six months at the property is not exercising a taxable privilege, and the local option transient rental taxes apply to stays of six months or less. The books keep the written agreement with the booking so the untaxed rent can be shown.
Do you file my Florida or county taxes?
No. TechBrot does not prepare or file tax returns; we work with your CPA or EA, or introduce you to one. We keep the state, surtax and county figures each return is prepared from, property by property and county by county.
